About the Role

The primary function of the Outreach Coordinator to provide all coordination efforts and management for volunteers, online communication, donor management, and event needs. Also provides support to the Development Department, reports to Director of Development.

Requirements

Key Accountabilities: 

  1. Volunteer Management: Measures of Success

    1. Coordinates and supervises all volunteer recruitment, screening, placement, projects, recognition, schedules and communications. 

    2. Conducts orientations, meetings, trainings and for volunteers

    3. Evaluates the volunteer program to ensure effectiveness and recommend/implement changes as appropriate. 

    4. Recommends the most efficient use of volunteer time and analyzes future workforce needs to support volunteer program operations. 

    5. Develops and maintains relationships with other volunteer organizations in the area. 

    6. Maintains accurate records and provides timely statistical and activity reports on volunteer participation; manages databases and tracking of volunteer statistics (i.e., conducts annual surveys and analyzes the data). 

  2. Outreach & Education: Measures of Success

    1. Will be certified to teach QPR model for Suicide Prevention 

      1. Provides Training, Education and scheduling to community and corporate partners in:

        1. ADA Accessibility focused on Veterans and Service Dogs. 

        2. Suicide Prevention Training (QPR, Lethal Means, Stigma Reduction) 

      2. Composes and maintains current training materials, handbooks, orientation forms, and presentations. 

      3. Conducts public outreach and assists with public relations


  3. Fundraising: Measures of Success 


    1. Provides general fundraising, marketing support within Development Department 

    2. Presents about the organization in a variety of settings. 

    3. Handles telephone, voicemail, written, and e-mail inquiries/confirmations for community events; sends out program collateral as appropriate. 

    4. Creates and distributes Organization’s email campaigns. 

    5. Adheres to and maintains all branding standards in all communication. 

    6. Assists with preparation and execution of Paws and Stripes annual events. 

    7. Manages all third-party event coordination, preparation, and oversight; maintains all merchandise and inventory for events. 

    8. Establishes and coordinates cause marketing efforts. 

  4. Cross Departmental Responsibilities: Measures of Success

    1. Front Desk Cross training

      1. Opening/closing process 

      2. Weekly deposit 

      3. Answering phones 


    2. Program Department Collaboration

      1. Manages Suicide Prevention Training schedule with other educators 


      2. Works with Peer Support Worker in Outreach efforts 

    3. Assists Administration and Development with public relations, marketing, and/or development outreach and fundraising efforts. 


  5. Other duties as assigned, reports to Development Director 


Minimum Qualifications: 

  • Some design skills/experience 

  • Ability to learn new software as needed 

  • Proficiency in Microsoft Office Suite 

  • Ability to communicate effectively in English using a variety of techniques appropriate to the audience 

  • Ability to present complex information accurately and effectively and to adjust presentation to the needs of the audience 

  • Excellent written communication skills 

  • Ability to develop and apply creative and innovative solutions to problems 

  • Ability to prepare clear, concise, and accurate reports, correspondence, and other job- related documents for various audiences 

  • Ability to develop controls and systems to ensure quality of work and continually improve processes and procedures 

  • Ability to maintain professionalism and adhere to strict standards of confidentiality 

  • Ability to work independently and complete tasks in a timely and efficient manner 

  • Skill to gather, analyze and interpret data 


  • Skill to manage supplies and provide inventory control 


Physical Demands and Work Environment: 

  • Work is performed at a desk/computer screen for extended periods of time in a traditional office environment. 

  • This position requires manual dexterity sufficient to operate phones, computers, and other office equipment. 

  • Work is performed in a highly active environment with exposure to a wide variety of challenges, deadlines and diverse employee and client population. 

  • Daily exposure to dogs in the office environment should be expected. 

  • Position may require the occasional lifting of up to 30 pounds.
